There is no one right answer to “do I call McQuay chiller tech support or order the part myself?” I’ve managed purchasing for a 300-person facility since 2020, and some version of that question lands in my inbox almost weekly. Bucket 1: A downed chiller is a support call, not a parts order

The part was only a few hundred dollars, and downtime makes an admin look bad. Our maintenance lead pushed back. Notice I’m not saying buy the most expensive heater or filter. In Bucket 3, the smart buy is often the cheapest option that fully meets the spec. The discipline is verifying the spec first.
How to figure out which bucket you’re in
Here’s the 20-second version I use when a request lands on my desk:
- Could a wrong guess damage expensive equipment? Yes → Bucket 1. Call the number on your official support contract, not a search-result directory.
- Can I name the exact part number and confirm compatibility? Yes → Bucket 2. Order exactly that, from a vendor who accepts returns.
- Is this a supporting product with a clear spec and safety requirement? Yes → Bucket 3. Compare spec-matched options, then choose the best value.
If you can’t answer question two quickly, don’t guess. You’re in Bucket 1 until someone qualified tells you otherwise. There is a real satisfaction in watching the right purchase work out—the chiller cycling back on, the thermostat holding its setpoint overnight. Since 2020, that satisfaction has never come from buying the wrong thing twice. It comes from sorting the problem into the right bucket before I open the wallet.
